Use one comparison sheet
Give both products the same requirements: member entry, access to the right space, a recurring event, moderator cover and retrieval of a useful old discussion. Write the expected result and the evidence needed beside each requirement. A checked marketing feature is weaker evidence than a relevant documented limitation or a permitted rehearsal. Leave unsupported answers blank rather than awarding a favourable score.
Compare the actual quote
Both vendors publish multiple plans with different administrative and commercial capabilities. Compare the complete billing period, taxes where applicable, transaction charges, necessary add-ons and migration assistance. A monthly equivalent displayed for annual billing is not the same cash commitment as monthly billing. Ask about what will not move
Request separate answers for people, conversations, files, roles and subscriptions. Payment migration eligibility does not prove that every conversation or custom profile field transfers. A fictional shortlist decision

If both proposals fail the same required journey, the current platform remains a valid option. Record the reason for choosing, declining or postponing each offer.
