Rehearse a small community move before a full cutover

Last materially reviewed 2026-09-28

Quick answerUse a representative set of member tasks to find failures before committing the whole group.
What to know

Choose tasks, then participants

Include entry, intended-space access, a useful reference, an event and a help request. Select participants who cover the relevant starting states and needs, with appropriate consent. A pilot consisting only of administrators is likely to miss ordinary-member barriers. A small pilot is useful evidence about its tested tasks, not proof that every member or resource will transition successfully.

What to know

Define the stopping rule

Before the rehearsal, write which failures prevent a full cutover and which can be handled through an agreed exception route. Assign a person who can stop the move. Record the exact environment, plan and instructions used. If the instructions change materially, identify the dependent tasks that need another check rather than replaying every activity without purpose.

What to know

Keep the rehearsal reversible

Use non-sensitive sample material where practical and avoid duplicate charges or confusing invitations. Tell participants whether they are entering a rehearsal or the final community. Establish what will happen to temporary content and accounts. Never promise that a provider can reverse a transfer unless the actual recovery method and its limitations have been established.

What to know

A fictional pilot result

Five volunteers attempt the same welcome route. Four reach the discussion, while one is directed to the wrong space. The group records four observed successes and one unresolved routing failure. It corrects the invitation instructions and checks the affected route before considering cutover. The useful result is the identified failure and repair, not a claim that the platform achieved a general eighty-percent success rate.

What to know

Before you close this task

Save the actual observed result next to the expected result. Do not prefill a success column before the participant completes the task. If a rehearsal ends early, distinguish not attempted from failed; those states imply different next steps and should not be merged for a cleaner report.

Continue when useful
