Read the billing basis first
Open the current official price page and record the plan, currency, billing period and quote date. Check whether the displayed monthly figure assumes an annual commitment. Keep transaction charges and payment-processing charges separate rather than describing a plan as all-inclusive. Make the work visible
Estimate preparation, content selection, member help, moderator training and closeout as separate tasks. Assign an owner to each. Unpaid volunteer time is still limited capacity, even when it is not a cash expense. Include an overlap decision
If you retain the old platform while checking the new one, specify why, for how long and who can end the overlap. Equally, do not let an undefined safety period create indefinite duplicate billing.
A fictional budget exercise
