Map hosts, moderators and ordinary members before inviting everyone

Last materially reviewed 2026-09-28

Quick answerWrite the task each role needs to perform and verify the permissions that actually support it.
What to know

Start from responsibilities

List ordinary participation, welcoming, event management, moderation, billing and ownership as distinct responsibilities. Then map them to the roles available on the proposed plan. A familiar role name does not guarantee familiar privileges. Keep owner-level access limited to justified responsibilities and never solve a permissions gap by sharing someone’s personal password.

What to know

Check plan limits separately

Current pricing distinguishes administrative allowances across plans. Confirm the number and type of roles your actual proposal includes rather than assuming every volunteer can become a host. A member who helps others informally may not need elevated access. Conversely, a backup owner’s responsibility cannot be satisfied merely by giving them a public-facing moderator label.

What to know

Test both allowed and disallowed tasks

A useful rehearsal checks that a moderator can perform the required task and cannot perform an inappropriate one. Use authorised accounts and non-sensitive sample content. Record the actual environment and result. A screenshot of a role selector proves configuration was visible, not that all permissions behaved as intended.

What to know

A fictional cover arrangement

A club wants an event helper to answer practical questions but not change billing. It writes those two requirements before choosing a role. If the available permission model cannot separate them, the club changes the process or obtains clarification rather than granting broad access and hoping it will not be used. The role map includes the date of review and the person who can revoke access when the volunteer leaves.

What to know

Before you close this task

Add an exception column for tasks the intended role cannot perform. Name the authorised alternative rather than treating the gap as a reason for unlimited privileges. Recheck the map after a plan change or an administrative-role change, because the earlier rehearsal may no longer describe the current arrangement.

Next: Moderator handover

Transfer the work, permissions and unresolved cases through authorised role changes and a clear acceptance check.
