Map useful conversations and references to their new destinations

Last materially reviewed 2026-09-28

Quick answerGive each retained resource a clear destination and audience before moving it.
What to know

Map reader purpose first

For each important resource, record the question it answers and where members currently find it. Then select the destination that serves the same purpose. Recreating every old folder is not necessarily helpful, but removing familiar context can make material hard to recognise. Use descriptive destination names and a small transition index rather than relying on members to rediscover everything through search.

What to know

Preserve context and boundaries

A discussion may depend on dates, attachments and replies that a plain text copy does not preserve. Check what the proposed migration actually includes. Keep private-space material within its appropriate audience. Ownership of content and the technical ability to export it are different questions; do not interpret a platform’s ownership language as a promise of complete portable data.

What to know

Define acceptance for each type

A reference file needs a working destination, a readable format and the correct audience. A conversation may additionally need attribution and meaningful reply order. An event needs a current date and join route. Choose a small representative set for checking, then record the scope of that check without implying that unchecked items have all passed.

What to know

A fictional mapping exercise

An association’s popular equipment discussion contains a current checklist buried beneath older advice. The group creates a clearly labelled reference page and retains the original conversation where permitted. It does not silently present the edited checklist as every contributor’s current opinion. The transition index explains the difference and provides a route for corrections, making the new structure easier to use without manufacturing consensus.

What to know

Before you close this task

Keep a short old-to-new route register for essential references. Check redirects or replacement notices only where the platforms actually support them. A manually published index may be the appropriate alternative; do not promise automatic preservation of every old bookmark or external link.

Continue when useful

Next: Archive decisions

Preserve useful history deliberately; do not confuse copying everything with protecting continuity.
